Creation and detailed conception

The event experience of your guests is at the heart of this phase. We design the flow of your event with creative ideas, emotional dramaturgy, and sustainable materials, always aimed at leaving a lasting impression.

To this end, we visualize your event location in detail, develop an effective room concept, and structure the schedule. When is the best time for a break? How can maximum attention be achieved at the right moment? Together with you, we answer these questions strategically, thoroughly, and with your target audience inmind.

This stage also includes the precise calculation of all event costs to ensure maximum planning reliability and a convincing result.

Participants, ticketing & sponsors

We support you with all aspects of participant communication, from the initial invitation to the follow-up.

Marketing: We promote your event via organic channels or targeted social ads, tailored to your target group, platform, and budget.

Participant management: We take care of everything – info mailings, reminders, digital check-in, feedback surveys, name tags, wristbands, documents, and more.

Ticketing & processing: On request, we handle the entire ticketing process, including booking system, payment processing, and GDPR-compliant data processing.

Digital project management & organization

We take care of all the planning and implementation of your event with clearly defined processes, high reliability, and a dedicated contact person during all phases.

All agreements, approvals, and tasks are documented and managed using central digital tools. This gives you access to the current project status at all times and allows you to keep track of deadlines, responsibilities, and budgets transparently, without any additional effort for your team.

We create reliable schedules and staffing plans, coordinate all service providers according to binding briefings, and document all processes. Our project managers carry out closely timed quality and budget controls and ensure that every step is precisely coordinated – for maximum planning security and an event that runs according to plan.

On-site event management and coordination

On the day of the event, we implement the jointly developed plan with precision.

Our team coordinates all aspects – from logistics and technology to decoration and admission—based on a clearly structured schedule and professional event management.

Unnoticed by your guests, we control all processes in the background using radio and digital systems. We respond flexibly to changes and ensure that everything runs exactly according to schedule.

On-site direction/show calling and precise control of the event are carried out in direct coordination with the technical team, moderators, and all other parties involved. Your event manager remains available at all times to ensure that the event runs smoothly, meets quality standards, and stays within budget.

What types of events does KPlusA Communications GmbH organize?

We organizeall types of business events for 10 people or more. These include:

How does the communication work?

When working together, we usually meet in person two to three times: for example to visit the location, for a strategy workshop and, of course, on the day of the event.

The rest of the coordination takes place efficiently and flexibly online — via Zoom or Microsoft Teams.

At the start of the project, you get access to a shared project folder and are added to an email mailing list or a WhatsApp group with your project manager. Depending on your needs, we will inform you about the current status on a weekly basis or every two weeks in a 30 to 60 minute update call.

Does KplusA also organize international events?

Yes, we've already organized events in over 45 European cities, including Lisbon, Mallorca, Rome and Amsterdam.

How do your events refinance themselves?

For sales-oriented events, we develop individual refinancing concepts tailored to your brand, your goals and your target group. Possible sources of income include ticket sales, sponsorship, exhibitor contributions or funding. We will discuss which options make sense for your event during a personal concept meeting.

How does the planning process for an event work?

Our event projects are divided into four central phases:

  1. Conception — development of a tailor-made event concept based on your goals and target groups
  2. Organization & planning — structured preparation with service provider coordination, process and schedule planning
  3. On-site implementation— support on the day of the event including set-up and dismantling, direction and live coordination
  4. Follow-up & evaluation — analysis of results, feedback and budget as well as post-processing of event content

What happens if the event has to be cancelled?

We work with clearly defined cancellation conditions, both internally and with all our service partners. In this way, it is always transparent which options exist, such as postponement or cancellation.

Thanks to our structured planning and experience, we find suitable solutions even in such cases to provide participants with professional information and avoid unnecessary costs or displeasure.
